The switch, step by step.
You don't change everything on one cut-over day. Keyline first runs next to your current system and takes over one area at a time. Every phase ends with a check, and the next one only starts when everything works.
1. Discovery & setup
- What happens
- Together we review your workflows and gather the information needed about machines, materials and worksteps. We use it to build the digital twin of your print shop in Keyline, with manufacturing assets, worksteps and formulas.
- Who from Keyline is involved
- Your onboarding contact and our support team
- What stays as it is
- Your shop keeps running entirely on your current system.
- It works when
- The required information is recorded and the digital twin models your machines and production workflows.
2. Estimating in parallel
- What happens
- Your estimators calculate the same jobs in Keyline and in the old system. We trace differences back to the formula and align them.
- Who from Keyline is involved
- Your onboarding contact, together with your estimators
- What stays as it is
- Offers still go out from your current system.
- It works when
- Prices from Keyline match yours, and your estimators trust them.
3. Offers & projects
- What happens
- Offers and orders now run through Keyline, with a customer page for offer acceptance and print data.
- Who from Keyline is involved
- Training for office staff and sales
- What stays as it is
- Planning, production and invoicing stay as they are for now.
- It works when
- New orders are created in Keyline, without a detour through the old system.
4. Production & shop floor
- What happens
- On release, the calculated process net becomes the production plan. Terminals at the machines report the worksteps back.
- Who from Keyline is involved
- Training for prepress and production
- What stays as it is
- Invoices still run through your current system.
- It works when
- Production works to the plan from Keyline, and feedback arrives in the project.
5. Invoicing
- What happens
- Invoices, credit notes and e-invoices come from Keyline. After that, your old system can be switched off.
- Who from Keyline is involved
- Your onboarding contact and, if you like, your accounting team
- What stays as it is
- Your tax advisor stays. The data reaches them through the DATEV adapter, and we agree the details before this phase starts.
- It works when
- The first month is invoiced entirely from Keyline.

What should a modern MIS offer? Compare traditional workflows with Keyline: easy operation, estimating, AI integration, imposition and a customer portal.
Compare MIS approachesFrequently asked questions
Will the calculation still be right?
Keyline first runs in parallel with your current system. Every price can be traced down to the formula, and we resolve differences together before the first offer leaves Keyline.
What happens to our data?
During discovery, we clarify which information you need to get started and how it can be provided. Whether existing data can be used, and to what extent, is assessed individually. You can export your data from Keyline at any time.
Do we have to switch everything at once?
No. You switch module by module, and every phase has its own go-live.
Will our people learn it?
Every role gets its own training. At the shop floor terminal, one scan starts a workstep. And if questions remain, you call us.
